Administrator/Center Manager Position Description

InStill Mindfulness is a nonprofit based in Pulaski, VA committed to cultivating a mindful world for all with kindness, compassion, and care through education, action, and community. We are committed to prioritizing Pulaski community members in our hiring. We are seeking a capable individual connected with the Pulaski community who will work directly with our Executive Director to co-manage administrative duties and the InStill Center for Wellbeing.
Position ResponsibilitiesÂ
Reports to: Executive Director
- Serve as the primary support for the Executive Director, providing strategic assistance and ensuring alignment with organizational goals.
- Oversee administrative functions to ensure efficient operations of InStill Mindfulness, including responding to inquiries, coordinating meetings, organizing the office, and database management.
- Manage the InStill Center for Wellbeing, maintaining and improving its presentation, and acting as a community liaison to foster strong relationships.
- Manage bookkeeping and payroll, ensuring accurate financial records and timely payroll processing.
- Oversee the preparation and submission of accurate and timely reports, including federal and state reporting.
- Work with the Board Treasurer and Executive Director to prepare and present the annual organization budget for board approval.
- Collaborate with the Executive Director on planning, organizing, and executing fundraising campaigns to support the financial sustainability of InStill Mindfulness.
- Assist the Executive Director in researching grant funding opportunities, completing prospective grant applications, and overseeing grant fulfillment and accountability.
- Assist the Executive Director in developing and implementing operational policies and procedures to enhance organizational efficiency.
Required skills and abilities:
- Engaged in a regular contemplative practice or willing to develop one.
- Demonstrable connection to Pulaski County.
- Strong interpersonal, written, and verbal communication skills.
- Ability to prioritize and organize multiple projects.
- Experience with Microsoft Word, Excel, Zoom, and QuickBooks.
- Ability to use and/or willingness to learn Google Drive, OneDrive, Mighty Networks, Network for Good, and other software packages.
- Attention to detail.
- Flexibility, curiosity, and enthusiasm.
Preferred qualifications:
- Experienced in working autonomously and with minimal supervision.
- Experienced in working within a non-profit setting.
- Availability to work some evenings and weekends.
Pay and benefits:
- This position averages 25 to 30 hours per week, paying $21-$24 per hour, depending on experience
